title: Sharing and Export
description: Copy an in-app link for teammates, enable a public share link for anyone, and export an audit report as a PDF.
---

An audit report can be shared three ways: an in-app link for people on your team, a public link for anyone, and a PDF download. This page covers each and the one thing that surprises people — what happens when a PDF takes a while to render.

## Before you start

- You need a completed audit report open. See [Run an Audit](/docs/audits/run-an-audit).
- Enabling public sharing is available to members who can act on the project; if your org is in a read-only billing state, mutating actions are blocked.

## Copy an in-app link (for teammates)

Use **Copy link** to copy a link to the report scoped to your project. This is the link to send to people who are **already signed in** to your org — it opens the report inside the app, in context. Use it for anyone on your team who has access to the project. It does **not** make the report public.

## Enable the public share link (for anyone)

Use **Share** to create a link that **anyone** can open, signed in or not.

### 1. Click Share

If public sharing isn't on yet, Apptonomy shows a **"Enable Public Sharing?"** dialog explaining that this creates a public link anyone can view.

### 2. Enable sharing

Click **Enable Sharing**. Apptonomy turns on public access and opens the shared report in a new tab. The public URL takes the form `…/app/share/audit/<audit id>`, and it renders without a login wall.

### 3. Turn it off when you're done

Public sharing is a toggle. You can **disable sharing at any time** — once it's off, the public link stops resolving. Only reports with sharing explicitly enabled are reachable publicly.

:::caution[A public link is public]
While sharing is on, anyone with the link can view the full report — there's no per-person access control on the public link. Share it deliberately, and turn it off when the report no longer needs to be out in the open.
:::

## Export a PDF

Use **PDF** to download the report as a file — for attaching to a deck, emailing outside the app, or keeping a point-in-time record.

Apptonomy renders the PDF on demand. Most exports are ready within a few seconds and download straight to your machine. If a report is large enough that rendering takes longer than about a minute, Apptonomy stops making you wait: you'll see a message that the **PDF is taking longer than usual and it will be emailed to you when ready**. You can close the report and go do something else — the finished PDF arrives by email. Nothing is lost by waiting; the export continues on the server.

## Verify it worked

- **Copy link / Share** — paste the copied link into a new tab. The in-app link should open the report in the app; the public link should open it in a new tab with no login required.
- **PDF** — the file downloads to your machine, or (for a slow render) you get the "we'll email it to you" message and the PDF later arrives in your inbox.

## Troubleshooting

### The shared link shows "not shared" or won't open

### The shared link shows not shared or won't open {#link-not-shared}

Public links only resolve while sharing is **enabled** for that report. If someone reports a broken public link, open the report and check that **Share** is on — if it was disabled, re-enable it to make the link resolve again.

### My PDF never downloaded

### My PDF never downloaded {#pdf-never-downloaded}

If the render ran long, the download is replaced by an emailed copy — check the inbox for the account that requested it. If nothing arrives, open the report and click **PDF** again to re-request the render.
